Stuck in the endless meeting loop and feel that you are not doing anything productive?

Here are some pointers that have been useful to me.

  1. Agenda:
    Set clear meeting agenda and share it in advance with the participants.
  2. Participants:
    Only invite participants that will be Responsible or Accountable for the action points from the meeting. Make Consulted role participant optional. Skip Informed role participant.
  3. Preparation:
    Share relevant information and documents in advance with the participants. That ensures prior preparation and focused discussion.
  4. Outcomes:
    Clearly define expected meeting outcomes in the agenda.
  5. Documentation:
    Create minutes of meeting documents and share them with the participants. Don’t forget to include the informed role participants.
  6. Follow-up:
    Schedule a follow-up meeting on a need-to-basis or follow up on the action items individually.
  7. Decline meetings in which you are not going to be an active contributor.

It is not a one-size-fits-all list. You may want to include/exclude per your organization’s culture and individual preference.
